The art of organising a successful event

Whether you are planning a small-scale community event or large corporate event, whether you have zero-budget or big bucks, there are some common things to think about.

Patrizia Sechi, Lexington’s Customer Experience & Events Manager at Devonshire Square, believes determination, creativity and an ability to share ideas is essential when planning an event. Here she gives us some things to think about when planning an event.

Visualise the event

Before I do anything I ask myself: what do want to achieve during the live event?

I keep myself constantly updated about the major events that are taking place both in UK and internationally so that our events are current and so we can tap into relevant cultural and social themes that might be happening in the world.

I try to visualise the event, as if it is happening, thinking about the atmosphere and how guests feel.

Involve the wider team

If I think it’s a convincing vision, I will share it with my General Manager who also has an artistic background. If he loves the idea as much as I do, I will propose it to my team to see if the idea is well received and whether they have anything to add

It’s just beautiful to see how an original idea can develop into a richer programme after everyone in the team has added his or her own creative contribution to it. We are an incredibly united team and very passionate about what we do – every event is the result of our Team’s close cooperation.

Reflect the organisation you are representing

At Devonshire Square our key objectives as a team are to add value to our occupiers’ and visitors’ experience.

Our ultimate goal is to increase awareness about social causes through the power of art, by bringing art to the Financial District and offering support to a number of charities.

We focus on delivering events that promote multiculturalism, diversity and bring the rich historical heritage of our estate to people’s attention.

Believe you can overcome the impossible

There will always be challenges when planning an event. But with incredible teamwork and a little creativity you will overcome the most difficult of problems.

We’ve had a fair few challenges – the Western Courtyard is not a traditional venue for fashion shows because of the open structure and the fact it is located between restaurants. Logistically it could be seen as problematic.

However, we invited potential partners to visit the campus so that they could experience it personally and see the standard and the range of services available, as well as embrace our creative vision.

Essential event planning skills

As an event planner you need a vivid imagination, creativity and a strong sense of commitment. It’s also important to be a strong team player and to be truly passionate about your vision.

The secret to delivering a successful event

– Plan it meticulously

Promote it intensely

– Supervise every phase of the event, from planning to delivering
